The AR & Collections Automation Buyer's Guide: What to Look For

AR and collections tools tend to sell on the promise of "reduced DSO," but the mechanism matters more than the headline number. A tool that digitizes your existing process without changing how commitments are tracked and followed up on will digitize the same gaps you already have. Here's what to actually evaluate.

What to evaluate before you choose a platform

  • Are collection workflows actually structured, or just a shared tracker? Ask whether the platform assigns daily tasks and priority queues per account, or whether it's still a spreadsheet with a nicer interface.
  • Is every customer interaction actually logged? Calls, visits, and emails should be captured with timestamps and outcomes — not just "called customer" scrawled somewhere. Geo-tagged visit tracking matters if you have field collections staff, since it turns a claimed visit into a verified one.
  • Does promise-to-pay tracking compare commitment against actual payment? A system that captures a customer's promised payment date but doesn't flag it when the date passes unpaid isn't really tracking anything — it's just recording.
  • Is ageing analysis real-time, or a periodic export? Collections priority should be based on current ageing, not last week's report.
  • Does it sync with your ERP for invoice and payment data? If your collectors are working off data that's stale by a day or a week, they're chasing amounts that may already be resolved — which wastes their time and annoys customers.
  • Can collectors' actual productivity be measured? Dashboards that show who's actually moving accounts forward, versus who's just logging activity, help you manage the function instead of just running it.

Questions worth asking any vendor

  • "How does the system track a broken promise-to-pay — does it flag automatically, or does someone have to notice?"
  • "Is ageing data real-time from the ERP, or refreshed on a schedule?"
  • "Can I see collector-level productivity, not just portfolio-level ageing?"
  • "What's actually captured for a field visit — just that it happened, or location and outcome too?"
