The Vendor Portal Buyer's Guide: What to Look For

Most vendor portals promise to reduce email and phone chaos, but the amount of manual coordination that actually disappears depends entirely on what the portal can do beyond hosting a form. Here's a framework for evaluating one, whether or not you end up looking at ours.
What to evaluate before you choose a platform
- Does onboarding include real verification, not just a form? Digital registration is table stakes. Ask whether KYC documents, bank detail verification, and vendor master data setup happen inside the portal with a tracked status, or whether that's still an email thread on the side.
- Can vendors book their own delivery slots? If appointment scheduling still runs through a phone call to your warehouse team, the portal hasn't removed the coordination overhead — it's just added a second system alongside the phone call.
- Does invoice submission capture tax details and PO reference, or just accept a PDF? A portal that takes an uploaded PDF invoice without structured GST data and a PO link just moves the manual keying downstream to your AP team instead of removing it.
- Does it track MSME status and payment-term compliance? For vendors classified as MSME, the 45-day payment requirement under Section 43B(h) is a real compliance obligation. Ask whether the portal captures MSME/Udyam status at onboarding and surfaces payment-due tracking against it.
- Is payment status visible to vendors in real time? If vendors still have to call to ask "where's my payment," the query-reduction benefit most portals promise isn't actually being delivered.
- Does it connect to your ERP and warehouse systems, or live as an island? A vendor portal that doesn't sync with your actual PO, GRN, and payment data becomes one more system someone has to reconcile by hand.
Questions worth asking any vendor
- "What exactly happens during vendor onboarding — is bank detail verification automated, or does someone manually check it?"
- "Can vendors book and reschedule their own delivery appointments, or does that still go through a phone call?"
- "Does the invoice submission module capture GST details and validate them, or just accept a file upload?"
- "What systems does this actually sync with — ERP, warehouse, both, neither?"
