Ask a warehouse manager how many systems a single pallet touches between the gate and the delivery truck, and most will guess low. Then they count: a gate register, a weighbridge slip, a GRN form, a putaway location, a pick list, a packing checklist, a dispatch note. Six or seven handoffs, usually on paper or in three unconnected spreadsheets, and not one of them talking to the others.
Nobody designed it this way on purpose. It accumulated — one system added when the last one couldn't keep up, one paper form kept "just in case" the software goes down. The result is a warehouse that works, but that nobody can actually see end to end.
Most warehouses can tell you a truck arrived. Very few can tell you, in real time, what it's carrying, whether it was expected, or how long it's been sitting at the gate. A weighbridge slip gets logged by hand, an appointment gets confirmed by phone, and by the time anyone in the office knows a delivery has landed, it's already inside — often already unloaded onto the wrong dock. The gate is the first place visibility breaks, and because everything downstream depends on it, it's also where the rest of the chain inherits the error.
Goods receipt is where quantity and quality get checked against the purchase order — in principle. In practice, GRNs get raised hours or days after the truck has left, reconstructed from memory and a stack of delivery challans. A shortage or damage claim made a week late is a much weaker claim. And because the GRN is the trigger for a vendor's payment and for putaway, a delayed GRN delays everything after it too.
Ask where a specific SKU is stored and most operations still get the answer from a person, not a system — someone who's walked that aisle for years and knows the layout by feel. That's not resilience, it's a single point of failure wearing a hi-vis vest. When that person is on leave, picking slows down and errors go up, and nobody notices until an order ships wrong.
Dispatch feels like the finish line, so it's the stage least questioned — but "the truck left" and "the customer knows what's coming and when" are two different facts. Most warehouses can confirm the first. Far fewer can confirm the second in real time, which is why so much of a logistics team's day is spent answering "where's my shipment" instead of preventing the question.
None of these are separate problems needing separate fixes. They're one problem — a lifecycle where each stage hands off data to the next automatically instead of relying on someone re-keying it. Vendor appointment confirms into a gate log. Gate-in triggers a GRN workflow instead of a paper form. GRN completion releases putaway instructions to a location the system — not a person's memory — assigns. Picking is guided, not guessed. Dispatch updates flow out without anyone having to be asked.
The value isn't any single stage getting faster. It's that the six handoffs stop being six separate places for the truth to get lost.
